Fleet Management

From Paper Trails to Real-Time Insight

Centralized tools are giving a clearer view of fleet operations

26

To efficiently coordinate and manage vehicle fleets, many organizations are turning to fleet management software. These systems offer tools for service scheduling, parts management, inspections, preventative maintenance workflows and asset data repositories that can include specifications, service histories and parts and labor costs.

Many software companies provide a single, comprehensive view of equipment data in a single platform. This gives users a unified view of their fleet, reducing the need to manage information across multiple systems or paper records.
This structure can help reduce service downtime by improving visibility into maintenance needs and asset status. It identifies potential issues earlier to reduce unscheduled maintenance or breakdowns.
Fleet management software can also support compliance tracking and safety processes by centralizing inspection records and maintenance documentation.
Organizations can improve reporting consistency and strengthen oversight with better access to organized data. This visibility can contribute to improved fleet performance and more informed decision-making around maintenance timing and repairs.
The systems also help organizations better understand equipment history and operational costs. By consolidating service records and cost data into a singular platform, fleet managers can evaluate trends and identify where adjustments may be needed.
As fleet operations continue to evolve in complexity and size, organizations are transitioning to software tools to provide visibility into maintenance and asset management processes. By centralizing information, these systems support dayto-day operational tracking and longerterm planning.
E-Z Construction Utilizes Tenna’ s Digital Tracking Systems
E-Z Construction, a Kentucky-based specialty site contractor, has implemented a digital equipment tracking system from Tenna to improve visibility and management of its growing fleet of nearly 40 assets. The company provides industrial and commercial site work development, design-build services and concrete construction, using equipment that includes excavators, bulldozers, skid steers, generators, pumps and small hand tools.
As operations expanded across multiple jobsites, the company needed a more effective way to track equipment movement and usage. Paper records for equipment tracking had become increasingly difficult to manage and the company also needed clearer insight into where equipment was located and who was using it at any given time.
With the adoption of Tenna’ s platform, E-Z Construction centralized equipment tracking and improved visibility across jobsites. The system allows users to monitor equipment locations and helps field teams plan movement between sites. It also reduced the time spent locating equipment by replacing manual coordination methods with a digital record of last known positions.
The company uses the system to track equipment hours, supporting internal checks and improving accountability in reporting by job foremen. This helps address discrepancies that can occur when daily logs are recorded manually.
Geofencing features are also used to support job costing and equipment utilization tracking. By defining multiple geofenced areas within larger jobsites, E-Z Construction can monitor equipment activity across specific locations and improve cost tracking accuracy.
